What we collect

From the contact form: name, email, the study you selected, optional product name, and your message. From an engagement: counterpart names, work emails, event data you supply, and interview recordings or notes where interviews are in scope. We do not ask for identity-card numbers or payment-card details on this site.

Why we hold it

To reply to enquiries, to perform a contracted study, to invoice, and to keep records required for tax and professional accountability in Malaysia. Legal bases we rely on are your request for a step prior to contract, performance of a contract, and legitimate interests in running a small practice — together with consent where interviews require it.

Retention

Enquiry messages that do not become an engagement are kept for twelve months, then deleted. Engagement files, briefs, and invoices are kept for seven years. Interview recordings are deleted after notes are agreed, unless your letter requires a longer hold. Cookie preferences stored in your browser are described on the cookies page.

Your rights

You may ask for a copy of personal data we hold, ask for correction, and, where applicable, ask for deletion or a restriction. Send the request to hello@utilitygarden.click. If you are unhappy with our reply, you may contact the Personal Data Protection Department of Malaysia.

International transfers

We work in Malaysia. If a client asks us to use a shared drive hosted outside Malaysia, we will name that host in the letter of engagement and only transfer what the engagement needs.

Processors

Email and file hosts we use to run the practice may see names and files as a consequence of storing them. We do not sell lists.
